Office Manager, Jersey (with travel)

The Office Manager will hold three key accountabilities – Facilities Management, Health and Safety Management and General Office Management covering all Jersey Locations (St. Peters, Heron House, 2 Salons and any retail premises).  Additionally guidance and support will be provided to any other premises owned by feelunique, currently a UK office and a Guernsey store.

Duties and Responsibilities:
Office Management (30%)

  • Support the Operations Director in ensuring general business continuity, provide support wherever needed with the business to ensure ongoing smooth management of all the Jersey Offices
  • Manage local procurement of utilities, support services, office supplies, stationery, furniture and other purchases, including negotiation of contracts

Facilities Management (35%)

  • Procurement and contract management in relation to facilities ensuring best practice, best service and best price are achieved at all times through successful investigation and cost comparison for goods and services to achieve maximum value for money
  • Management, supervision and coordination of Contractors ensuring work is completed satisfactorily at all times for ad-hoc and regular work
  • Planning and arranging best allocation and utilisation of space in order to provide effective working environments, including timely arrangement of workspace and equipment for new employees
  • Proactive management of facilities day to day to ensure that improvements are continuous and subsequently drive forward and implement agreed actions
  • Provision of planned, preventative and reactive maintenance in relation to buildings and equipment
  • Proactive management of facilities day to day to ensure that improvements are continuous and subsequently drive forward and implement agreed actions

Health and Safety Management (35%)

  •  Review and update existing health and safety procedures and implement new procedures and documents where required ensuring full comprehension and guidance by all stakeholders
  • Establish and provide effective regular reporting in relation to health and safety
  • Together with the HR Manager; review training requirements in relation to all employees and health and safety in order to facilitate an effective training plan going forward
  •  Assist in the provision of training, coaching and support to Managers ensuring that they understand their responsibilities in relation to health and safety


  •  Be on call and Responding appropriately to emergencies or urgent issues as they arise
  • Ad hoc tasks and projects as determined by the Operations Director, COO or CEO


Skills / Qualifications:

  • Self- motivated, hands-on, proactive and professional with a comprehension of internal and external customer service
  • Must have a ‘can do’ attitude and be able to be flexible with regards to working hours
  • Comprehension of processes and procedures including the ability to produce and implement user-friendly effective documents and templates for implementation within the business
  • Proven people management and team leadership skills within a fast paced and changing environment
  • Excellent written and verbal communication skills as well as a strong work ethic
    Ability to work to tight deadlines and manage projects independently
  • Preferably previous office management / facilities experience and knowledge of Health & Safety
